DU SOL Launches Digital Grievance Portal to Eliminate Campus Visits

The School of Open Learning (SOL) at Delhi University has introduced a digital grievance redressal system, marking a significant shift in how student issues are addressed. For the first time, learners enrolled in SOL programs can now resolve problems related to fees, examinations, admissions, and other academic matters without needing to physically visit the campus.

This new online portal, officially named the Campus of Open Learning Grievance Portal (COOL GRAM), was unveiled during SOL’s international conference held at Vigyan Bhawan last week. The initiative aims to streamline communication between students and administrative authorities while significantly reducing the time and effort previously required to get issues resolved.

How the Portal Works

The platform has been designed with a student-first approach, offering a straightforward and intuitive interface. Students can log their complaints by selecting from predefined categories that cover a wide range of concerns, including:

  • Examination-related queries
  • Fee payment and refund issues
  • Admission and registration processes
  • Study material availability
  • Learning management system access
  • Other administrative matters

Once a student submits a complaint, the system automatically generates a unique ticket number. This ticket is then routed directly to the concerned official responsible for that specific category. This automated assignment ensures that no grievance gets lost in transit or overlooked due to manual handling errors.

Transparency and Timely Resolution

One of the standout features of this digital system is the transparency it brings to the grievance redressal process. Students will receive a defined timeline within which their issue is expected to be resolved. They can also track the real-time status of their complaints online, allowing them to see whether their matter is still pending or has been successfully addressed.

Professor Payal Mago, Director of the Campus of Open Learning, emphasized that this system eliminates the need for repeated visits to the campus, which was a common frustration for students in the past. With over three lakh students currently enrolled in SOL, the volume of grievances has always been substantial, and the traditional method of in-person complaint filing often led to delays and inconvenience.

Benefits for the Student Community

The launch of this portal represents a major step forward in SOL’s commitment to leveraging technology for better student services. By moving the grievance mechanism online, the institution is not only saving students valuable time but also ensuring that every complaint is tracked, monitored, and resolved within a stipulated period.

The digital system also reduces the administrative burden on staff, allowing them to handle complaints more efficiently through a centralized platform. This organized approach is expected to improve response times and overall satisfaction among the student body.

This initiative aligns with the broader push toward digital transformation in higher education institutions across India. SOL’s proactive move to adopt such a system sets a positive example for other open learning schools and distance education programs nationwide, demonstrating how technology can bridge the gap between students and administrative services.
