ICAI Makes Digital Training Diary Compulsory for CA Students Starting Articleship in 2026

The Institute of Chartered Accountants of India (ICAI) has introduced a significant policy shift for aspiring chartered accountants. Starting January 1, 2026, all students who begin their articleship training will be required to maintain a digital practical training diary, commonly referred to as an e-diary. This move is designed to modernize the way practical training is monitored and recorded across the country.

Strengthening Oversight and Transparency

In an official communication, ICAI explained that the primary objective behind this initiative is to enhance the supervision of articleship training. The institute aims to standardize the quality of training provided by different firms, reduce reliance on manual record-keeping, and ensure that stipend-related information is captured digitally. By moving to a centralized digital system, the institute hopes to bring greater consistency and accountability to the entire training process.

The decision reflects a broader effort to align practical training with the evolving demands of the accounting profession. ICAI believes that a structured and transparent approach will benefit both trainees and the firms that mentor them.

A Centralized Platform for Daily Logging

The e-diary will function as a unified digital platform where articled trainees can log their daily attendance and describe the tasks they have undertaken. This system will generate time-stamped, verifiable records of each trainee’s work experience, creating a reliable digital trail of their professional development.

All entries made by trainees will be automatically recorded with timestamps, ensuring that the data is accurate and tamper-proof. This feature is expected to eliminate discrepancies and provide a clear picture of a trainee’s engagement and progress.

Developed by ICAI’s Board of Studies

The e-diary platform has been developed by ICAI’s Board of Studies (Operations) in collaboration with the Members and Student Services Directorate. The design is aligned with ICAI’s competency-based training framework, which outlines the skills and knowledge areas that trainees are expected to develop during their articleship. This alignment ensures that the platform supports the institute’s broader educational goals and helps standardize evaluation across different regions and firms.

Leadership Perspective

ICAI President Charanjot Singh Nanda emphasized that the e-diary will serve as an authentic digital record of articleship training. He noted that the system will increase transparency around trainee activities and make it easier to identify emerging areas of professional exposure. According to Nanda, the platform will simplify administrative procedures for both students and their principals, making the entire process more efficient.

How the E-Diary Works

Trainees will be required to enter their daily attendance and work details into the e-diary. These entries will be compiled and submitted for review every two weeks. The supervising principal will then have a specified window to review the entries, provide feedback, and grant approval. If the principal does not respond within the designated timeframe, the entries will be considered automatically approved, ensuring that the process does not stall due to administrative delays.

Key Features for Students

The e-diary system comes with several features designed to make the training experience more user-friendly and transparent:

  • Trainees can make corrections to their entries if needed, providing flexibility in record-keeping.
  • Students can track the approval status of their submissions in real time, keeping them informed about their progress.
  • Access to the e-diary will be available through the Self Service Portal (SSP) login, making it convenient for students to use the platform.
  • The system is designed to align with ICAI’s training regulations and will be linked to Form 109 where applicable.
  • Stipend information will also be displayed digitally, giving trainees a clear view of their compensation records.

Improving Training Quality and Identifying Skill Gaps

ICAI expects that the e-diary will bring uniformity to training and learning outcomes across the profession. The system will enable regular reviews of work experience, making it easier to identify skill gaps and prioritize training areas. This structured approach will help trainees develop a well-rounded skill set that meets the needs of the modern accounting profession.

Beyond monitoring daily activities, the platform will also streamline administrative functions such as stipend record-keeping, leave tracking, and verification of training completion. These improvements are expected to reduce the administrative burden on both trainees and their principals.

Benefits for CA Principals

The e-diary is not just beneficial for trainees; it also offers significant advantages for CA principals who supervise articleship training. Through the platform, principals will have access to real-time information about their trainees’ attendance and work activities. This visibility enables better mentoring, quality control, and training oversight.

Digital approval mechanisms, management information system (MIS) reports, and automated alerts will reduce the need for manual record-keeping. This shift is expected to lower the administrative workload for principals, allowing them to focus more on guiding and developing their trainees.

The introduction of the mandatory e-diary marks a forward-looking step in professionalizing the articleship experience. By digitizing records and streamlining oversight, ICAI is preparing the next generation of chartered accountants for a more data-driven and transparent professional environment.
